Administrative Assistant Part Time (Remote)


 
Description:

Position Summary: This position will assist Program Manager, Holocaust Care Manager, and coordinate with Aging and Care Connections Administrative Assistants and accounting department in maintaining and updating required documentation and forms for the Holocaust program. This position may provide administrative support to other ACC programs as needed.

This position is fully remote and will work between 10 and 15 hours per week depending on program needs.

Responsibilities:

  • Collaborate with Program Manager, Holocaust Care Manager, ACC Administrative Assistants and appropriate accounting personnel to ensure timely and accurate grant reporting.
  • Process and submit emergency assistance requests for Holocaust program.
  • Compile information from database on a monthly basis as requested by accounting personnel.
  • Track and process invoices for clients’ personal care, medicine, medical, dental, and other miscellaneous invoices billable to Holocaust program funding sources.
  • File all Claims Conference documentation into clients’ electronic records, ensuring paperwork is complete, in the proper order, and contains all required signatures.
  • Assess homemaker and personal care provider timesheets for accuracy and clients’ signatures, and file electronically per claims conference requirements. Provide administrative support by making telephone calls, creating and/or responding to emails, photocopying, faxing documents, etc., as needed.
  • Communicate with clients, client representatives, and vendors as needed regarding invoices and timesheets.
  • Other duties as assigned.

Requirements:
  • Education: High School Diploma or GED.
  • Experience: Minimum of two years working in an office setting.
  • Other: Strong organizational and communication skills. Working knowledge of computer software (ie; Microsoft Office Suite, including Word and Excel).
  • Detail oriented, ability to follow policies and procedures, meet deadlines. and work on a team. Ability to lift 40 lbs.
