Job responsibilities include:

The Project Specialist will:

  • Assist in the administration and coordination of a variety of administrative, academic, clinical, and education tasks and projects.
  • Provide administrative assistance to management through functions such as planning, organizing, coordinating, scheduling, and implementing project activities to meet objectives.
  • Research, gather, organize, enter, reconcile, and summarize data for administrative and/or project reports and/or activities.
  • Assist in developing and implementing project goals and strategies.
  • Prepare presentations for Chair, Vice Chairs, executive staff, internal and external audiences, and stakeholders.
  • Create project plans; track and document project status; prepare project status reports; disseminate results.
  • Interface with clinical faculty and/or staff and external contacts necessary to reconcile schedules, coordinate onboarding and training activities, complete project assignments, or for information exchange.
  • Resolve problems or questions referred by project staff or administrators.
  • Conduct quality assurance reviews of assigned projects.
  • Promote an environment that fosters inclusive relationships and creates unbiased opportunities for contributions through ideas, words, and actions that uphold principles of the USC Code of Ethics.
  • Perform other related duties as assigned or requested.

Preferred Education and Experience:

  • Master's degree
  • Prior administrative experience, ideally 3 years or more

Preferred Skills and Qualifications:

  • Excellent interpersonal, communication (written and oral), and organizational skills
  • Must be highly detail-oriented with strong writing and mathematical skills
  • Demonstrated ability to work independently with little supervision
  • Work effectively on multiple projects, set priorities, and maintain schedules
  • Willing to follow safety protocols related to COVID-19 (i.e., wearing a mask)
  • Receptive to constructive feedback from supervisors
  • Proficient with Microsoft Office applications (Word, Excel, Outlook, PowerPoint, Teams, OneDrive), Zoom, and Google Drive
  • Working knowledge of Workday, Sharepoint, and other systems and applications, such as Adobe, Cerner, PnC, AMION/Qgenda, and Qualtrics, is ideal
  • Experience working with diverse populations
  • California resident, or willing to relocate

A strong candidate will have excellent time management, communication, and organizational skills; be dependable, adaptable and flexible, motivated, a self-starter; able to work both independently and with a team; take initiative; and troubleshoot crises in a fast paced and high-volume work environment with deadline pressures.

This is a staff position in the Department of Psychiatry and the Behavioral Sciences at the Keck School of Medicine of USC. The position is full-time (37.5 hours per week), non-exempt (hourly), and a one-year fixed-term. Salary is competitive, and contingent on experience. THIS IS NOT A REMOTE POSITION. Some on-site presence will be required; the blend of in-person and remote work will be determined through mutual agreement at the point of candidate offer.

The hourly rate range for this position is $29.17 - $32.00.
