Action Property Management, a premier management company, is seeking a Community Care Work Order Specialist to join our team. This position is 100% Remote in CA Only.
Compensation: $17:00 Per Hour
Schedule: Monday – Friday: 8:00 AM to 4:30 PM

Summary:
Coordinates all aspects of vendor and homeowner follow up for the department to ensure timely and continual progress on every maintenance request. In addition, the Community Care Work Order Specialist will handle On Call Processing, assist with email communications to the department, and assist with incoming calls.
Essential Duties and Responsibilities:
- Coordinate follow up to all vendors via phone, email and fax.
- Follow up with Homeowners to inform them of the status of work orders or to get additional information.
- Follow up with Managers for status as well as additional information.
- Access Devices and directory programming.
- Run work order reports.
- Process incoming email requests from managers, vendors and homeowners.
- On Call Report Processing.
- On Call Equipment Updating and Distribution.
- Email prior days’ work order report to Managers each morning for their review and approval.
- Process manager/vendor work order close outs.
- Check Community Care’s mail Inbox.
- Deliver all incoming mail/packages/deliveries to the appropriate representative or mail inbox in our production room
- Assistance with ongoing maintenance and updates to our Department policies/procedural manuals.
- Coverage of Community Care phones. Handling incoming calls during high volume, meetings, when we are short staffed, etc.
- Other projects as assigned by Department Manager.
Other:
- An Emergency Maintenance Period (EMP) is described as any time during or following heavy or steady wind or rain, or any other disaster or act of God which will result in increased maintenance requests.
- Overtime may be necessary during an EMP to process all of that day’s calls, work orders, return phone calls, etc.
- Overtime may be necessary either before or after vacation in order to ensure that work is current and that orders are processed in a timely manner.
- All issues of an urgent nature shall be responded to with a return phone call on the day received advising of the action taken and the approximate time for repair, if known. Urgent calls are defined as those listed below, however, the list may not be all inclusive:
- Water intrusion (from roof, window, deck, plumbing, slab)
- Fallen trees (blocking access roads, on buildings or other structures)
- Sprinklers running for longer than 30 minutes
Required Skills:
- High School graduate
- General knowledge of Microsoft Outlook, Word, and Excel
- Knowledge of office equipment including personal computer, electronic faxing and copier use
- Dependable, punctual and reliable
- Excellent verbal and written communication skills
- Typing speed of 30 words per minute
Preferred Skills:
- Experience in customer service or call center environment
- Ability to speak Spanish is a plus
- Proficient with MS Word and Excel
- Homeowner industry experience
